Provides clerical assistance to Human Resource Department Staff and other HMH related departments as needed. Maintains accurate and up to date files, records and documentation for personnel files.  Provides general HR assistance to HMH’s current employees and potential applicants. Types minutes of meetings, letters, reports and forms. Develops, tracks and files new and revised forms. Assists with the overall organization of the department. Maintains confidentiality of information and strives to create a friendly, cooperative atmosphere for visitors and staff members. Essential Key Job Responsibilities

  • Assists with day-to-day functions within the HR Department, with high focus on clerical support to HR Department Staff.
  • Provides clerical support to other HMH departments and/or projects as assigned.
  • Ensures a warm welcoming environment is achieved for all current employees and candidates entering the department.
  • Types forms, letters, memos, minutes of meetings, handouts, etc. for Human Resources.
  • Develops, tracks and files new and revised forms for use throughout the hospital.
  • Maintains in-service/education records for the hospital.
  • Answers incoming phone calls and makes outgoing calls.
  • Maintains confidentiality and integrity.
  • Keeps an updated inventory of office supplies, requests needed items weekly and as needed.
  • Assists with basic frequently asked questions and answers from applicants and current employees relative to policy, benefits, onboarding and payroll.
  • Performs and/or assists with periodic audits to ensure compliance with regulatory guidelines and requirements.
  • Assists with the coordination of orientation: folders, goodie bags, welcoming new hires, etc.
  • Assists with running errands for the department for employee relation activities.
  • Participates in planning and executing special events/employee recognition activities, holiday events, and other company celebrations.
  • Displays a high sense of urgency.
  • Maintains exceptional organizational skills and attention to detail.
  • Strives to meet deadlines and achieve goals within the department.
  • Processes payroll changes and other payroll related tasks as needed.
  • Assists with updating departmental trackers and spreadsheets as assigned.
  • Provides Birthday and Anniversary data monthly to necessary leaders/managers.
  • Maintains organization of employee personnel files and/or records.
  • Assists in maintaining a clean physical environment for Human Resources Department.
  • Assists in supporting recruiting and retention initiatives
  • Completes Labor Management reports for biweekly payroll meetings
  • Serves as HR witness to employee relation matters, as necessary
  • Assists with coordination of volunteer and students
  • Prepares, processes, and maintains personnel files on all employees
  • Maintains current list of all new employees and terminated employees, as needed
  • Prepares and provides compliance reports, as requested
  • Processes ID badges for all current employees and onboarding new hires
  • Participates in the organization of new hire orientation
  • Processes Bereavement requests
  • Completes employment verifications
  • Ensures compliance with I9’s, assessments, department specifics, evals, and certs
  • Assists with the maintenance of employee electronic records, i.e uploading documentations for RHCS, EMS, and other necessary documents
  • Assists with benevolence program
  • Assists all members of the department with duties as needed

Role Minimum Qualifications

Required Education

·        High school diploma

Required Minimum Knowledge, Skills and Abilities

  • Basic Human Resource knowledge preferred.
  • Proficient in Microsoft Office including Word, Excel, and PowerPoint, with Publisher knowledge a plus.
  • Uses correct grammar, spelling and punctuation in duties performed.
