JOB SUMMARY
The Management Assistant is based in the office of the Division Director and is required to make occasional trips throughout the service area. The incumbent provides clerical and administrative support to the Human Resources Division. The incumbent performs clerical work of significant difficulty.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Greets and directs the public to the appropriate area
2. Answers questions from callers and directs calls appropriately
3. Schedules appointments, meetings, speaking engagements and makes travel arrangements
4. Assists in researching and preparing data for reports
5. Reviews drafts for correspondence
6. Prepares correspondence
7. Maintains records and files
8. Maintains inventory on office supplies
9. Assists with special projects as required
10. Performs other duties as assigned by the Director/Division Manager
MINIMUM QUALIFICATIONS
1.Kentuckyresident
2. Able to be bonded
3. Effective written and verbal communications skills
4. Must be able to type 25 wpm
5. Effective interpersonal, organizational, time management and technical skills
6. Able to operate office equipment including computer, printer, fax, copier
and multi-line phone
7. Competent in the use of Microsoft Office products (Word, Excel, PowerPoint, Access)
8. High school diploma or equivalent
9. Two (2) years of similar clerical experience or an equivalent combination of
education and similar experience may be substituted
DESIRABLE QUALIFICATIONS
1. Knowledge of Human Resources terms, documents and HRIS software
PHYSICAL DEMANDS
The work is primarily administrative in nature. It may require some travel. It requires the ability to communicate effectively using speech, vision, and hearing. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, reaching, with the ability to lift, carry, push, or pull weights up to 25 pounds.
